Investment Auditing - Events (BTL)

We audit the investment for the production and execution of events, in accordance with the procedures established in the operating flowchart defined by the client. Agencies are audited from the approval of the budget by client to the conference of invoicing submitted, with interface to client accounts payable/accounting.

Consolidation of Advertising Data

The client has immediate access to its event investment data through the MS Portal, which keeps all historical information which allows prompt inquiries and building of reports by the marketing, procurement and financial areas.

Control of Expenditures by Event

Control the event detailed expense plan sheet submitted by the agencies vs the budget approved by the client for each event. The detailed information builds up the monthly and annual closing, in accordance with the accounting structures defined by the client.

Invoice Checking/Interface to Client System

All agency /medium invoices related advertising and production expenses are checked on by-document basis, to confirm whether all expenses and taxes are supported by proof of evidence. Expenses without proof of evidence or submitted with errors are immediately returned to the agency, awaiting for credit note or invoice deduction. The credit obtained is returned to the annual budget for future re-utilization. Invoices checked and validated by Media Systems are interfaced to the accounts payable/accounting systems of the client, classified in accordance with the financial structure previously defined.

Reporting via MS Portal

The MS Portal registers all information received from multi-agencies related to events, by campaign/brand, for the month-end and annual closing, in accordance with the information structure defined by the client.

Results

We demonstrate in the portal the result of the auditing of event agencies/suppliers, comparing the cost avoidance obtained vs the invested amount in events, through the monthly divergency report.
